Master Vehicle Rental Agreement

1. The Parties & Contract Formation

This Master Vehicle Rental Agreement ("Agreement") constitutes a binding contract between the authorized car rental operator branch ("Company" or "Operator") and the individual or corporate entity named as the lead renter ("Hirer" or "Customer") upon reservation confirmation through the Rentaxle platform.

By checking the acceptance control, remitting the token advance, or taking physical delivery of the vehicle, the Hirer unconditionally accepts and agrees to abide by all terms, schedules, and conditions set forth herein.

2. Authorized Drivers & Verification Requirements

• Minimum Age: Drivers must be between 21 and 68 years of age and have held a full, unrestricted driving license for at least two (2) continuous years.
• Malaysian Residents: Must present a valid MyKad IC and valid Class D Malaysian Competent Driving License (CDL). Digital e-Lesen via the MyJPJ application is accepted upon physical verification.
• Singapore Residents: Must present a valid NRIC/FIN and Class 3 or 3A Singapore Driving License. Verification via Singpass MyInfo is accepted.
• International Visitors: Must hold a valid national driving license in English or accompanied by an official International Driving Permit (IDP) and a valid passport with entry endorsement.
• Strict Prohibition on Unauthorized Drivers: The vehicle may ONLY be driven by the Primary Lead Hirer and explicitly registered designated secondary drivers approved during checkout. Permitting any unregistered individual to operate the vehicle voids all insurance coverage immediately.

3. Vehicle Handover, Digital Condition Logs & Return

Both Operator and Hirer shall execute a mandatory digital pre-collection condition log via the Rentaxle inspection module, capturing 360-degree vehicle exterior photos, odometer reading, and fuel/battery state.

The Hirer is deemed to receive the vehicle in clean, safe, roadworthy condition with all accessories, tools, and spare tires present, unless specifically documented in the pre-collection photo log. Upon conclusion of the rental, the vehicle must be returned to the agreed return hub or delivery location at the designated time.

4. Token Advance, Rental Charges & Fuel Policy

• Token Advance: The token advance amount paid online through HitPay reserves the vehicle fleet slot. The remaining rental balance and security deposit are payable prior to key handover.
• Fuel Policy (Fair Return): Internal combustion vehicles must be returned with the identical fuel level as provided at handover (e.g. Full-to-Full). Missing fuel is billed at pump rate plus a 15% administrative service charge.
• Electric Vehicles (EVs): EVs will be provided with at least 80% State of Charge (SoC). Hirers must return the EV with at least 20% SoC to avoid battery emergency recharging surcharges.

5. Refundable Security Deposit

A refundable security deposit (amount specified on vehicle booking breakdown) is held as collateral against damages, unbilled toll charges, traffic summonses, or late return demurrage.

Following check-in verification and automated summons clearing, the security deposit is released within 5 to 10 business days directly to the Hirer’s original bank account or card.

6. Insurance Coverage, Collision Damage & Deductible

All rental vehicles carry comprehensive commercial motor vehicle insurance covering third-party bodily injury, property damage, and vehicle loss by fire or theft, subject to an excess/deductible:

• Standard Excess: In the event of an accident where the Hirer is at fault, the Hirer’s maximum liability is limited to the stipulated insurance excess (MYR 2,000 – 5,000 / SGD 1,500 – 3,500 depending on vehicle class).
• Collision Damage Waiver (CDW): If purchased as an optional add-on during checkout, CDW reduces the Hirer’s excess liability by up to 80%, provided an official police report is lodged within 24 hours.
• Exclusions: Insurance does not cover tire punctures, rim curb damage, undercarriage damage, windscreen chips (unless Windscreen Protection is purchased), flood submersion caused by negligence, or operating while intoxicated.

7. Prohibited Uses & Operational Restrictions

The Hirer agrees that the vehicle SHALL NOT be:

• Used for e-hailing, ride-sharing (Grab/Gojek), parcel logistics, or commercial sub-leasing without written operator consent.
• Operated by any individual under the influence of alcohol, drugs, or prescribed narcotics.
• Used in any motor race, rally, speed trial, track event, or off-road driving outside gazetted paved roads.
• Used to transport hazardous, inflammable, explosive, or illicit contraband substances.
• Driven across international national borders into Singapore or Thailand unless authorized with a validated Cross-Border Endorsement.
• Subjected to smoking, vaping, or pet transit without carrier crate (sanitization cleaning fee of MYR 350 / SGD 200 applies).

8. Traffic Summonses, Tolls & Checkpoints

The Hirer is solely responsible for all traffic fines, speeding summonses (PDRM/JPJ/SPF/LTA), parking infringements, and unpaid highway toll penalties incurred during the rental tenure. An administrative handling surcharge of MYR 30 / SGD 20 applies for processing summons notices received on behalf of the Hirer.

9. Emergency Assistance & Contact

All rentals include complimentary 24/7 nationwide roadside assistance for mechanical breakdowns, towing, and flat battery jumpstarts. In case of an incident, contact the operator’s direct helpline or Rentaxle emergency dispatch immediately before authorizing third-party repairs.
